Booking Terms & Conditions

We reserve the right to make any changes to these terms and conditions up until the point of booking.

Otterburn House Terms and Conditions

By placing a booking with us (Otterburn House), you and your party (if applicable) agree to the following terms and conditions. If you have any questions about booking with us, please contact us prior to making a booking.

Terms of booking

  • You must be aged 18 and over to make a booking with us.
  • We are not able to accept bookings which include children aged 12 and under.
  • It is the responsibility of the person booking the accommodation (the lead guest) to ensure that all guests are aware of our Terms and Conditions and Coronavirus (COVID-19) guidance. 
  • Please note that our Bed and Breakfast cannot be used for the purposes of self-isolation or quarantine.
  • The maximum number of staying guests per room is illustrated in the room occupancy details on our Accommodation page. Only guests checked-in by us (the lead guest and/or named booking party) are allowed to use our facilities – visitors or additional overnight guests are not allowed access to our Bed and Breakfast.

Group Bookings

It is the responsibility of the person booking the accommodation (the lead guest) to ensure that all group members are aware of our Terms and Conditions and that payment is made to us in the event of any cancellation or alteration to the booking.

 

Deposit and Cancellation Policy

    • A £30 deposit is required per room at time of booking, card details are required to secure your reservation. 
    • If your booking is cancelled within 2 days of your arrival date we reserve the right to charge the full cost of your first night’s stay. If you fail to show or leave before your due departure date, we reserve the right to charge you for the full balance due for the whole of your booking.
    • By booking and agreeing to our terms and conditions, you authorise  Otterburn House to send instructions to the financial institution that issued your card to take payment from your card account.
    • We would only cancel your booking if your accommodation was unavailable for reasons beyond our control (force majeure) and we would make every attempt to find you alternative accommodation.  If any prepayment had been made we would refund all monies in full. Our liability would not extend beyond this refund. 
  • We recommend guests check that their travel insurance provides cover for cancellations.

COVID Government guidelines – Updated October 2022 (please read carefully before booking your stay with us)

  • The global pandemic is not yet over and the Government’s Scientific Advisory Group for Emergencies (SAGE) is clear there is considerable uncertainty about the path that the pandemic will now take in the UK.   • The emergence of new variants will be a significant factor in determining the future path of the virus. New variants of COVID-19 will continue to emerge. This could include variants that render vaccines less effective, are resistant to antivirals, or cause more severe disease. Coronavirus (COVID-19) – Bed and Breakfast Arrival

  • To safeguard ourselves and the other guests at Otterburn House. We have the right to refuse entry to Otterburn if any members of your party are showing COVID-19 symptoms on arrival. We reserve the right to charge the full cost of your first night’s stay.

Coronavirus (COVID-19)  – Guest Wellness

  • If you, or your party, tests positive for COVID-19 or displays symptoms of COVID-19 during your stay, you should return home safely if you reasonably can. 
  • Medical advice should be sought from NHS 111 or your local GP.  As the risk to us and others cannot be mitigated, your party will not be able to stay and self-isolate at Otterburn House.

Coronavirus (COVID-19) – Bed and Breakfast Closure

Due to the ongoing situation we may have to temporarily close Otterburn House as a result of the following:

  • If we, the owners, are showing signs of Coronavirus (COVID-19), have tested positive.Otterburn House will remain closed until  we are able to re-open;
  • As a result of a suspected or confirmed case of Coronavirus (COVID-19) on the premises. 

We will contact guests to cancel or re-arrange bookings. If we have guests staying with us then we will make every attempt to find you alternative accommodation. If payment has been made and your stay with us cut short then we will issue a partial refund. Our liability would not extend beyond this refund.

 

Arrival and Departure

  • Check-in is between the hours of 16:00 and 19:00. 
  • We ask that guests provide us with an approximate time of arrival. Please note that due to the enhanced cleaning protocols in place as a result of Coronavirus (COVID-19) we are unable to accommodate any early check-in requests. 
  • We cannot offer a check-in any later than 19:00
  • We kindly request that rooms are vacated by 10am on day of departure.

Tariff

  • Rates quoted are for bed and breakfast. 

Payment

  • Payment can be settled in advance of your stay or on arrival.
  • By booking and agreeing to our terms and conditions, you agree for Otterburn House to send instructions to the financial institution that issued your card to take payment from your card account.
  • Payment can be made by BACS payment or cheques (in advance) and the following cards – Visa Debit, Delta, Switch, Maestro, Visa Credit and Mastercard.
  • Sorry, we do not accept cheques on departure.

During Your Stay

After check-in you are welcome to come and go as you please, but we ask that noise is kept to a minimum after 10pm so as not to disturb other guests. All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners. We reserve the right to cancel a booking with immediate effect if guests do not honour this agreement and cause any disturbance or nuisance.

Guests are not permitted visitors during their stay at Otterburn House.

 

Use of garden 

Guests can use the gardens and outside seating areas at Otterburn House at their own risk. To access the gardens there are varies steps and slopes.

 

We are not liable if guests suffer an accident in or around the garden grounds.

 

WiFi Fair & Appropriate Usage Policy

During your stay guests have unlimited access to Guest WiFi. Please note, use of our WiFi to access content that is inappropriate or illegal, including but not limited to adult sites is strictly prohibited. Guests that chose to use these facilities agree to use it within these restrictions and accept full legal responsibility for any activity that is carried out.

 

Damage and Breakage

In the unfortunate circumstance that an accident may occur, we ask that you notify us immediately. We reserve the right to charge for any damage or breakages which we consider to be deliberately or recklessly caused and for any missing items. 

In the unlikely event that we are unable to re-let the room due to damage caused, we reserve the right to charge for any room nights lost. If any damage, breakages or missing items are discovered after departure you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

 

Loss of Keys

A charge of £30 will be levied for replacement room keys should the need arise. This cost is calculated on the basis that locks have to be changed. This charge must be paid on departure.

 

Lost Property

Any lost property left behind by guests during a stay will be held for a period of 30 days. While we will make our best efforts to reunite lost property with their owners, we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged. Items such as bank cards or driver licences will be handed to the appropriate issuing authority and high value items will be handed to the police.

 

Fire Detection System

We reserve the right to take action against any guest found to have tampered/ interfered with any fire detection equipment throughout, including detector heads in public areas and bedrooms, and fire extinguishers. Guests found to have tampered with any fire detection or firefighting equipment, will be charged, with any costs incurred by the owners due to their actions and additionally will be asked to leave the accommodation. Should the fact that firefighting or detection equipment has been tampered with come to light after the guest has departed, you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

Please note that the use of ignitable candles, scented sticks and any electrical appliances which may set off the fire alarm system are forbidden under fire regulations. 

 

Smoking/Vaping

Otterburn House operates a no smoking/vaping policy throughout the premises, this includes the garden and car park area. If we find that guests have been smoking/vaping anywhere on the premises then we reserve the right to ask you to leave immediately. You will be liable for the full cost of your booked stay. We also reserve the right to charge a minimum sum equivalent to the cost of one night’s stay if we are unable to re-let the room whilst it is deep cleaned and fully aired. If evidence of smoking/vaping is discovered after departure you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

 

Pets

Sorry, we do not accept pets except for service animals.

 

Alcohol Policy

Otterburn House Bed and Breakfast does not hold a license to resell alcoholic beverages. Guests may bring their own, but for the safety and comfort of all of our guests, please drink responsibly.

 

Our Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions. Cars, motorcycles or other vehicles parked on our property are left at your own risk.

Bicycles are stored at your own risk. It is your responsibility to store and lock your bicycle as per the conditions of your bicycle insurance.

 

Data

Our policy surrounding the personal details you provide as part of any booking or enquiry through this website/or third party website, including the privacy of those details are explained and set out in our Privacy Policy. Any data collected as a result of your booking will be stored in accordance with the provisions of current data protection legislation.

 

Law

Any dispute between us will be governed by the non-exclusive Law of the English Courts.

By making a booking with either us or through any of our partners you are agreeing to the terms set out within these terms and conditions and agree to the processing of your personal data in line with our Privacy Policy.
